What this policy covers

This policy explains how the Ride Portal website, the The Ride Portal rider app, and the The Ride Portal Driver app collect, use, and share information. Riders use the rider app to request and follow trips. Facilities and transportation company owners use the website. Company owners and their authorized individual drivers use the Driver app; individual drivers see only their assigned trips and do not sign in on the website.

Information we collect

  • Account information: your name, email address, phone number, organization, role, and sign-in information. Passwords are stored only in hashed form.
  • Trip information: pickup, stop and drop-off addresses, requested times, passenger name and phone number, passenger and companion counts, vehicle or mobility needs (including wheelchair type and any health or disability information you choose to provide), notes you add, price estimates, and the status of each trip.
  • Location, rider app: when you choose to use your current location while booking, the rider app reads your device location only while the app is open, to fill in your pickup address, show your position on the map and suggest nearby addresses. It does not track you in the background.
  • Location, driver app: when an assigned driver marks a trip leg In Route, the driver app collects the device's precise location, including while the app is in the background, so the rider and requester can see where the vehicle is. The app keeps only the latest reported point for an active leg; it does not keep a history of every location update.
  • Messages, reports and blocks: messages that riders, facilities and transportation companies exchange through the website and apps, reports of messages or behavior (with a copy of the reported message and any details you add), and who has blocked whom. Messages are visible to the rider or facility and authorized staff of the transportation company participating in that conversation and, if a report is made, to us for review.
  • Company documents: a transportation company can upload business documents on the website, including policies, a rate sheet, a background check and proof of insurance. These can contain personal details. They are used to run the company's account and are visible to the company and, on its documents page, to users who view that company's documents. Company owners can replace an upload at any time, and deleting the company account removes them.
  • Information saved on your phone: booking address drafts expire after 10 minutes. The last map city and view are remembered separately until cleared or replaced. Up to five recent passenger names are saved locally per signed-in account to make booking for someone else easier; a new booking defaults to the account holder. Recent names are removed when the rider deletes their account in the app, or when app storage is cleared.
  • Notifications: if you allow notifications, we store a push notification token for your device so we can tell you when a trip is accepted, on the way, or changed.
  • Technical information: session, device name, security, and service diagnostic information needed to operate and protect the service.

How we use information

We use this information to create and secure accounts, send rider requests only to the selected preferred company or, when no preferred company is selected, to all eligible transportation companies serving the rider's state, show live route and arrival information, send trip notifications, support users, prevent misuse, and keep the service reliable. We do not use your information for advertising and we do not track you across other companies' apps or websites.

How information is shared

When a rider selects a preferred company, the request and its details go only to that company and its authorized staff and drivers. The request is not automatically offered to other companies after a delay or a decline. When no preferred company is selected, all eligible companies serving the rider's state can see the request's route, stops, pickup time and requested vehicle type so they can respond. The rider's name, phone number and trip instructions are hidden from those companies until one accepts; those details then become available to the company handling the ride. A request made by a facility is shared with the company it is addressed to and the facility that made it.

When a driver is on the way, the rider can see the vehicle's location. Service providers process the information needed for hosting, email delivery, address search, routing and maps. Native iPhone maps use Apple Maps; Android maps use Google Maps. Address and routing queries go through the services configured on our server. Expo, Apple APNs and Google FCM process push notifications; our hosting and email providers process account and alert delivery. A map provider may receive the displayed area, and address services may receive search text and a nearby location. The exact providers depend on the platform and deployment. We do not sell personal information and we do not share it with data brokers.

Retention and security

Cancelling a ride updates its status and notifies the transportation company; it does not delete the trip record. We keep account and trip records only as long as needed to provide the service, meet operational and legal requirements, resolve disputes, and protect the platform. We use access controls, encrypted connections, and role-based authorization, but no service can guarantee absolute security.

Your choices, access, and deletion

  • Location and notifications: you can allow or refuse each of them, and change your mind at any time in your device settings. Booking still works without them; you type the pickup address and check the app for updates.
  • Delete your rider account in the app: open Account, choose Delete your account, enter your password, and confirm with Delete my account permanently. Your trip requests that have not started are cancelled, your profile, saved addresses and notification settings are removed, your name, phone number and notes are removed from past trips, and you are signed out on all devices. Your sign-in can no longer be used. If a vehicle is already on its way, finish that trip first. Past trips stay in the transportation company's records (time, addresses and price) without your name.
  • Delete a company account in the driver app: the owner opens Account, chooses Delete company account, and enters the password. The company stops receiving requests, its details, documents and pricing are removed, and everyone at the company is signed out and anonymised.
  • Individual drivers: your company manages your driver account and assignments. Use the support and data-deletion links in the Driver app, or contact us at the privacy address below, for access, correction or deletion requests. Removing an active assignment or resolving underway work may be necessary before an account is removed.
  • Other requests: to ask for a copy of your information, a correction, or deletion of anything else, email privacy@therideportal.com. Transportation companies may keep limited trip records they need for their own operations and legal duties.

See how to delete your account and data.
